Overview

Web application that integrates project and employee management into a cohesive platform. The app enables project managers to create and assign projects, attach relevant documentation, and delegate tasks to employees, who can also manage their own to-do lists. This system allows managers to track all projects assigned to individual employees and monitor their progress through integration with TopTracker, providing valuable insights into productivity and work patterns. Additionally, the application supports internal communication by allowing project managers to schedule and organize meetings directly within the platform. This solution was designed to streamline workflows, enhance team collaboration, and improve overall organizational efficiency.

Solution

The solution for this project is a robust, user-friendly web application that integrates project management and employee management functionalities. It addresses the needs of project managers, employees, and administrators by providing a centralized platform to manage tasks, track progress, and facilitate internal communication.

The internal nature of this project allowed for direct and seamless collaboration with key stakeholders, including the CEO, CTO, managers, and HR. This direct line of communication was tailored precisely to the organization's needs. Engaging with the CEO and CTO provided strategic insights into the company’s long-term vision and technological roadmap, while discussions with managers and HR highlighted the practical, day-to-day requirements and challenges faced by the team.

Regular meetings and feedback sessions facilitated a dynamic exchange of ideas, allowing for iterative design improvements and ensuring alignment with stakeholder expectations. The involvement of diverse perspectives ensured that the product was robust, user-friendly, and capable of addressing the various pain points experienced by different user groups within the organization.


By fostering an environment of open communication and active participation, we were able to create a solution that not only met the immediate needs but also positioned Blackcoffer for future growth and efficiency in project and employee management.

This research phase was pivotal in laying a solid foundation for the design of the project and task management product, ensuring it meets Blackcoffer's internal requirements and enhances overall productivity and efficiency.

Research Objectives

Understand Stakeholder Needs: Gather and analyze detailed requirements from stakeholders to ensure the design aligns with Blackcoffer's specific needs and goals.

Identify User Pain Points: Explore current pain points and challenges faced by project managers, employees, and administrators to address them effectively in the new design.

Final Design

Customizable Workflows and User Roles:


Another critical finding was the need for customizable workflows and user roles to accommodate the diverse operational needs of different departments.

The research revealed that various teams within Blackcoffer had distinct processes and requirements for project and task management.

A one-size-fits-all approach would not be effective. Therefore, the design included features that allow customization of workflows, task statuses, and user permissions, enabling each department to tailor the system to their specific processes.

This flexibility was crucial for ensuring the product's usability and effectiveness across the organization.

Need for Centralized Documentation and Task Tracking


One of the most important research findings was the necessity for a centralized system that integrates project documentation and task tracking.

Stakeholders highlighted the challenges of managing project documents and tracking task progress across different platforms.

This fragmentation led to inefficiencies, miscommunication, and difficulty in monitoring the overall project status.

The solution was to develop a unified platform where all project-related information, tasks, and progress tracking could be managed seamlessly, improving visibility and coordination.
